Record, dues, card

Membership management software for nonprofits, clubs and associations

Duesvo is for the person who keeps the list: the administrator of a small nonprofit, the secretary or treasurer of a club, the organiser of an alumni chapter or a professional association, usually one person with a spreadsheet, a renewal date they are chasing and a committee asking how many members there are.

The sheet is free because a body that has worked out what its record must hold is the body that needs somewhere to keep it. Nothing here is a trial with a clock on it.

The Duesvo workspace open on Directories and membership cards, showing a saved layout called Membership record layout, 2026 review, filed against the member Harriet Vance and her household renewal. Its inputs read 420 members, 3 tiers, 4 extra fields, 12 months between renewals, 60 joiners, 45 lapses, 9 minutes a renewal and 15 minutes a new member; its worked outputs read 13 fields to hold, 420 renewals a year, 35 in an average month, 63 hours a year on renewals, 15 on joiners, 78 hours in total, 10.7 percent lapsing and a net change of 15. The sidebar counts 2 members, 3 renewals and 1 saved directory.
What Pro kept: the record layout that sized 78 hours of membership admin, filed against the member it was worked out for.

The administrator, secretary, treasurer or executive director who keeps the membership of a US club, association, chamber, alumni body or small nonprofit, usually alone and often part-time

Not a person shopping for a membership to join, not a member checking their own account, not a creator selling access to content, and not a large association running a tender for an AMS

The sheet the membership list is built from

The free membership database template lays out the fields a membership record actually needs and works out what keeping the list costs in hours across a year. Duesvo Pro holds every member with their tier, join date and renewal date, records the dues as they are paid, and issues a digital membership card the member can keep on their phone.

What Duesvo keeps for a membership body between one renewal and the next

  1. Every member with a tier, a join date and a renewal date

A spreadsheet holds names. A record holds when somebody joined, which tier they are in, when they lapse and what they have paid, which are the four questions a committee actually asks and the four a spreadsheet answers worst.

  2. Payments recorded against the member who made them

The treasurer's hardest hour is matching bank lines to members. Recording the payment against the member at the moment it is taken removes that hour, and makes the arrears list something you can read rather than reconstruct.

  3. A digital card issued from the same record

A membership card is a claim about the record, so it should be issued by the record. Cards go out with the member's tier and expiry on them, and a lapsed member's card lapses with the membership instead of living on in a wallet.

Duesvo Pro

The template is yours. Duesvo Pro keeps the members it laid out.

Upgrading turns the sheet into the register. The fields you laid out become the member record; the renewal dates become a list of who lapses this month; the dues become payments recorded against a member rather than a bank line nobody can match. Export is always available, so the membership list is yours whether or not you stay.

  • Take the laid-out record away as a file you can open in a spreadsheet.
  • Issue cards and directories with the body's name on them and without ours.
  • Keep the layout you settled on and open it again next year instead of starting blank.
  • Put the body's own name and crest on the directory and the membership card.
  • Send a renewal reminder or a card to a member from the record it came from.
  • Connect the body's own Stripe account so members can pay their dues.
  • Connect the bookkeeping the treasurer already files with, so the year's dues land there.

Should we buy an association management system instead?

If your body runs a conference, an education program with certificates, a job board and a magazine, an AMS is built for that and Duesvo is not. Duesvo is for the body whose real problem is the membership list, the dues and the card, and which does not want to pay for the rest of a suite to get them.

What it is built around

Duesvo: The membership record: who belongs, what tier, renewing when

A full association management system: A suite spanning events, education, publications and the membership

Who runs it

Duesvo: One administrator, often part-time, without training

A full association management system: Commonly a staffed association with an implementation project

What it costs to start

Duesvo: One price for the whole body, month to month

A full association management system: Usually annual contracts, often with onboarding fees

What you leave behind

Duesvo: Export the membership and the payment history whenever you want

A full association management system: Varies by vendor; ask before you sign

The comparison is category level and names no product and no price. What a particular association management system charges is on that vendor's own pricing page, and this site quotes no competitor's figure.
