Every figure on this site comes from the numbers you enter and the method printed beside them: your members, your tiers, your renewal period, your joiners and lapses, your minutes per renewal. Where a guide names a published document it names the document and the date it was read. This site publishes no vendor's price and no body's dues.
Membership payment is where most of a small body's administrative pain actually lives. The dues themselves are simple; matching them is not. Payments arrive by card, by bank transfer, by standing order set up years ago at the old rate, and occasionally by cheque, and every one of them has to end up against the right member before anybody can say who is in arrears. This guide is about closing that gap, and about what changes when the payment is taken by the same system that holds the member.

Take the payment where the member is
A renewal notice that links straight to a payment for that member, at that tier, for that period, is the difference between a payment you can match automatically and a bank line with a surname on it. This is the single change that removes the most treasurer hours from a membership year.
Record standing orders as members, not as income
Standing orders are the classic arrears problem: the amount was right in 2021 and the member believes they are paid up. Holding the expected amount on the member's record turns a slow drift into a visible difference, rather than something discovered when the accounts are prepared.
Let arrears be a list anybody can read
When payments sit against members, arrears is a query rather than a reconstruction, and the person chasing it does not need the treasurer's spreadsheet or the treasurer's memory. That is what makes chasing something a volunteer can do without being handed the whole finances.
What a membership administrator asks before running the Membership payment
Do you take a cut of our dues? No. Duesvo Pro is $35 a month and nothing else. Card processing is your own Stripe account and its fees are Stripe's, published on their site, paid by you to them.
Can members still pay by bank transfer? Yes, and most bodies keep it. The record holds what each member owes and when it was paid, however it arrived, so bank transfers and standing orders are recorded rather than left to a bank statement nobody reads until year end.
Are membership dues tax deductible for the member? That depends on the body and on what the member gets back for the money, and this site gives no tax advice. IRS Publication 526 is where the rule about benefits received in return for a payment is set out, and your accountant is where the answer for your body is.
What about pro rata joins mid-year? Hold the join date and the renewal date on the member rather than assuming everybody renews in January, and a mid-year join is a normal record instead of an exception somebody has to remember.
