Every figure on this site comes from the numbers you enter and the method printed beside them: your members, your tiers, your renewal period, your joiners and lapses, your minutes per renewal. A club membership app is asked for by two different people and they want opposite things. The member wants a card on their phone and a way to see whether they are paid up. The person running the club wants to know who is a member today, who lapses this month and who owes dues, and would rather not learn a system to find out. A club app that only does the first is a card wallet; one that only does the second is the secretary's spreadsheet with a login. This guide is about what a small club actually needs from both halves, and the order to get them in.

Put the record in before the app

Members with a tier, a join date and a renewal date, in one place the committee can see. Everything a club app does for a member is a view of that record, so a club that buys the app first spends its first month typing the record into it anyway, and usually from three spreadsheets that disagree.

Issue the card from the record, not beside it

A membership card is a claim that somebody is a paid-up member, so it should be issued by the thing that knows whether they are. Cards issued from a separate design tool outlive the membership: a lapsed member keeps a valid-looking card, and the person on the door has nothing to check it against.

Let renewal be a list, not a memory

The month before renewal, the club needs one list: who is due, who has paid, who has not answered. That list is the whole value of a club app to the person running it, and it only exists if the dues are recorded against members rather than arriving as bank lines to be matched later.

Is a club membership app worth it under a hundred members? Often not, if one person keeps the list and the renewals all fall on one date. It starts to pay when renewals are spread across the year, when more than one person needs the list, or when the person who keeps it is about to step down and hand over a spreadsheet only they understand.

Do members have to download anything? They should not have to. A digital membership card that opens in a browser and saves to a phone's wallet asks nothing of the member, which matters in a club whose membership is not uniformly under forty.

What about court, room or event bookings? Duesvo does not do them. It keeps the membership, the dues and the card. A club whose central problem is booking courts should buy a booking system and keep its membership here, or buy a club suite that does both less well.
